Events Coordinator, The Studley Graduate Program in International Affairs

The Studley Graduate Program in International Affairs (SGPIA) is seeking an Events Coordinator. The Events Coordinator manages a large and complex portfolio of faculty, student, and program-wide events. The Coordinator works with programs and offices across the university, as well as with outside organizations. This position is responsible for all aspects of event organizing, and requires a great deal of self-initiative and time management skills. The ideal candidate will have experience with event planning and public relations and will demonstrate superior organization and communication skills.
Responsibilities include but are not limited to:
  • Arranging and following up on all stages of the event planning process
  • Negotiating room requests and facilities layouts for events
  • Reserving audiovisual equipment
  • Arranging catering with outside vendors
  • Producing and distributing event signage
  • Delegating tasks to other program student workers
  • Coordinating with faculty, administration across the university, and outside partners
  • Managing event set-up and clean-up, either on-site or through delegation and collaboration
  • Liaising with SGPIA’s social media & communications team for event promotion and coverage
  • Maintaining communication with co-workers to ensure task and project completion
  • Attending regular staff meetings
Required:
  • Current SGPIA student with at least two semesters of study left in the program
  • Excellent communication and customer service skills
  • Highly organized and detail-oriented
  • Ability to work independently and as part of a team
  • Ability to see something that needs to be done, and do it
  • Ability to prioritize and complete important and time-sensitive tasks in a fast-paced environment
  • Tenacity with solving problems and getting results, sometimes amidst bureaucratic frustration
  • Available to work at least 15 and up to 20 hours per week
  • Proficiency with MS Word, MS Excel, Google Drive
Preferred:
  • Event planning experience
  • PhotoShop, InDesign, and/or Illustrator proficiency
  • Familiarity with additional software applications including DropBox, MS Powerpoint, using Avery templates for MS Word
  • Availability to work over summer and winter breaks
